Collecting school fees without a payment gateway

Schools ask us for online fee payment and mean one of two very different things.

Sometimes they mean a card checkout. More often they mean: stop making parents come to the counter with cash. Those have different answers, and the second one does not need a payment gateway at all.

What a merchant account really costs

A JazzCash or EasyPaisa merchant integration means an application, a business account, compliance paperwork, and a per-transaction cut — typically 1.5–2.5%.

On a 400-student school collecting PKR 2.4 million a month, 2% is PKR 48,000 a month, every month, to save a trip to the counter. There is a volume at which that trade is clearly right. Most private schools in Pakistan are well below it.

What most schools do instead

The pattern that already works, before any software is involved:

  1. The parent transfers the fee to the school’s own JazzCash, EasyPaisa or bank account.
  2. They screenshot the confirmation.
  3. They send it to the school.

The weakness is step three. A screenshot in a WhatsApp group is not a record. It gets scrolled past, the office cannot match it to an invoice, and two weeks later nobody can prove the payment happened.

Making step three a record

The fix is not a gateway. It is putting the proof against the invoice.

In ParhaiPro, a parent opens their portal link, sees what is due, transfers the money in their own wallet app, and uploads the screenshot against that specific invoice. It lands in the school’s queue as a pending submission. Your office approves it, and the receipt is generated with a number the system issued.

No merchant account. No per-transaction cut. The money moves exactly as it does today — but it arrives attached to an invoice instead of a chat thread.

When you should get a gateway

When the reconciliation work costs more than the fee. That is usually somewhere past 1,500 students, or when you are collecting from several campuses and the office cannot keep up with approvals.

Until then, the honest answer is that transfer-plus-proof is the better deal, and a vendor pushing you toward a gateway at 300 students should be asked why.
