Every school we have moved onto digital attendance has had the same first question, and it is not a technical one. It is: what do I tell the teachers?
That question is the whole project. The software part takes an afternoon.
Week one: run both
Do not switch. Run the paper register and the digital one side by side for a full week. It costs each teacher an extra thirty seconds a day and it buys you the one thing that makes the change stick: at the end of the week you can put the two totals next to each other and show that they match.
If they do not match, you have learned something important before it mattered — usually that a section’s roll is out of date, or that two students share a name and someone has been marking the wrong one for a month.
What to actually tell teachers
Not “we are digitising attendance.” Tell them this:
You will not fill in the monthly summary any more. You will not be asked for the register when the office needs it. Marking takes about forty seconds.
Teachers do not resist software. They resist being given a second job. Lead with the job you are taking away.
The thing that breaks
The roll. Almost always the roll.
A paper register tolerates a student who left in April still being on the page — someone just stops marking them. A digital one does not: they sit there, unmarked, every single day, and the section shows as incomplete. Before you start, go through each section and mark the leavers as inactive. It is an hour of work and it prevents a fortnight of confusion.
Mark the whole section, then fix the exceptions
The instinct is to mark each student one at a time. In a section of forty where thirty-six are present, that is thirty-six taps you did not need.
Mark the section present, then change the four who are not. It is the single biggest difference between attendance taking forty seconds and attendance taking four minutes — and four minutes a day is why schools quietly stop doing it.
When the month ends
Nothing. That is the point. The monthly register is already written, the percentages are already worked out, and it exports as a PDF for your records. The first month-end is when the staff room decides the change was worth it.
